Appointments, Consultations, Payments, Cancellations, Counselling Sessions, Training sessions, Website contents, Nature of services, Changes in policy, Privacy policy, Disclaimer
The terms "MindBalances Counselling Services" / "MindBalances" / "MCS" / "Counsellor" / "Psychologist" / "Counselling Psychologist" / “We" / “Us" / “Our"/ ”Company” individually and collectively refer to "MindBalances Counselling Services" and the terms “Visitor”, ”User” . "You", "Your" refer to the users / client(s) seeking counselling.
APPOINTMENTS & PAYMENTS:
The client is requested to contact the WhatsApp / Telegram numbers by sending text messages first before making direct calls, as the counsellor may be in counselling / training sessions with other client / supervisors / in meetings / in discussions which shall affect / interrupt the process.
However, if any enquiry phone calls found received unattended, shall be noted and the respective numbers will receive a call from our end as early as possible as our clients are important to us.
Submission of the Contact / Booking form from the website page shall be considered for registration and appointments.
However, the appointment is confirmed, and timeslot is booked ONLY UPON mutual agreement on the time availability following which the payment process is agreed to be proceeded, upon the payment link / account number sent by the counsellor to the client. This shall be confirmed between over phone call / WhatsApp / Telegram.
Once the payment is done, the client is requested to confirm the same by sending a screenshot of the same through WhatsApp / Telegram.
Prior payment and Refund Policy:
Prior payment is followed to avoid last minute cancellation, so as not to interrupt in the process of others' appointment schedule.
As everyone's time is precious and as every client is important to us and their mental health and comfort level are highly significant for any counsellor / psychologist, kindly fix appointment on prior payment.
The fee paid upon booking the appointment shall not be refunded upon cancellation from the client’s side. However, if any discrepancy / cancellation from the counsellor’s side, the paid fee shall be refunded upon asking for the client’s consent & need for any alternate timeslot / future appointment. In that case, the paid-fee shall be retained for the alternative time slot/ future with mutual agreement with the client.
ENQUIRY:
If any queries feel free to TEXT in WhatsApp or kindly make ONLY SHORT CALL of 5 - 10 minutes at the maximum about why you want to consult or need counselling. Clients are requested to make phone conversation short that it shall extend beyond 5-10 minutes for mere enquiries.
The reason for the same is, any client looking for urgent appointment, anyone in distress, anyone in need of emergency attention shall not be deprived of the opportunity to reach out to us immediately.
Such extended calls shall be considered as formal consultation and shall incur charges, as people in distress and emotional upset generally need more moments of sharing, which itself is the initial stage of the counselling process.
CONFIDENTIALITY: ONE OF THE MAJOR ETHICS OF COUNSELLING.
And…. of course, regarding the lengthy phone conversation (in the name of enquiry), we understand your needs and feelings and glad to help you but would like to do the same professionally with high confidentiality, following the ethics of counselling strictly and not through any of such unplanned & extended phone calls.
Online Counselling / Consultation will be done only in a closed room without any disturbance or interruptions from family members of the Counsellor. We ensure high confidentiality from our side not to disclose any of the issues discussed between the counsellor and the client(s), unless there is a necessity to reveal the same on legal grounds as demanded, upon the informed consent of the client.
The clients are equally requested to kindly ensure the same confidentiality from your side.
This is just to prevent feelings of discomfort and embarrassment for the client and at the client’s place which when followed, shall pave way for a peaceful and transparent counselling session without any discrepancies or difficulty. This is very essential to fetch a significant positive outcome towards peace and harmony.
Ultimately, we ensure that the client feels convenient to disclose their inner thoughts & emotions in a comfortable atmosphere.
MINOR CLIENTS:
(a) Counselling adolescents / minors:
Minor clients (under 18years of age) should be accompanied by their true parent(s) or authentic guardian and recommended to carry with them their respective proofs of identity, like school / college Id and Aadhar Id of the minor client and Aadhar / Voter ID of the parent(s) / guardian ensuring their biological / legal relationship / guardianship and consent.
This is to prevent any minor client approaching the counsellor without the parent(s) / guardian's knowledge / consent, for de-addiction of substance use (drug / alcohol/ smoking/ tobacco etc) / digital deaddiction / any sexual trauma underwent / crime committed / illegitimate affairs (any such legal issues) and to prevent any forgery.
Minor clients are advised to approach the counsellor for the above said de-addiction counselling with the respective parents / guardian.
(b) Minor Clients under emergency visit / Video call without prior informed booking:
If the minor client with a view to seek immediate counselling and if in high distress / with suicidal ideation and approaches the counsellor independently for immediate relief on emergency, then the same shall be revealed to their respective parent(s) / guardian as per the counselling ethics, after the psychological first-aid provided by the counsellor to save the minor client from further mental injury.
Of course, shaping the misguided / misled adolescents into healthy individuals is one of the vision of MCS, which we are glad to do with full commitment and compassion.
VENUE / MEDIA / SOURCE OF COUNSELLING – CONSULTATION –TRAINING
Any social media can be opted as per the client's preference like WhatsApp Video call, Telegram or One on One meet through Zoom or Google meet anything that is comfortable to the client.
Terms & Conditions / REQUIREMENT FOR ONLINE CONSULTATION / COUNSELLING / TRAINING :
(a)Technical requirements:
Any gadget with 1.5 GB Daily usage/Laptop/Desktop/Tablet for comfortable network is recommended during consultation / counselling / training for comfortable network.
Any discrepancy due to technical glitch from the client’s side shall not be compensated in duration or payment by the counsellor. Please ensure good network accessibility during the counselling process for a smooth outcome.
(b) Moral & Legal Warnings:
Recording of the session(s), screen capturing, or indulging in any malpractices / involving in any obscene / activities / any post / text / word of that sort from the client(s)' side is strictly prohibited and shall invite legal actions taken by the company/counsellor/psychologist on the client.
DURATION OF THE CONSULTATION / COUNSELLING SESSION:
50 mins to 1 hour per session, depending upon the client's need / problem, with the buffer time of 10 minutes. Further sessions, if required / if needed, shall be planned with required intervals, upon mutual consent during first consultation-meet, depending upon the intensity / severity / requirement of the client’s issue.
RIGHTS OF THE CLIENT(S) AND THE COUNSELLOR:
The client may ask the counsellor on what to expect before, during and after the counselling / training sessions.
The client has all the right to decline to proceed further sessions as may be conducted by the counsellor / trainer, before the payment process, due to any personal or official discomfort / any situation.
Similarly, the counsellor has all the right to decline / end the sessions / refer the client to some other counsellor or psychologist / therapist, upon the informed consent from the client, if the counsellor finds the client's issue getting clinical or the client requires any clinical interventions, or if the client seems to be non-cooperative, or if the counsellor feels the rapport between both is not healthy and comfortable to either of them. This shall be informed by the counsellor to the client before agreeing for further sessions & payment.
The client, who has stopped / discontinued the sessions, may anytime come back to the same counsellor without any impediment / hesitation upon prior booking. As counsellors, we completely understand the clients from all perceptions and ensure full freedom to decide upon their willingness independently. We always remind & advise that counselling is voluntary and not compulsory on any external grounds.
The client has the right to review his or her records from the counsellor.
Right to confidentiality: Within limits provided for by law, all records and information acquired by the counsellor from the client(s) shall be kept strictly confidential in accordance to the principles of a doctor-patient relationship. All information will not be shared or revealed to any person, agency, or organization without the prior written consent of the client / upon any legal grounds.
